Find out a month was bad before your accountant tells you.
Most small fire protection companies learn how the quarter went from the bookkeeper, six weeks late. Win rate is a feeling. Capacity is a guess. The slow months arrive as a surprise every single year.
Where the day goes now
- You sign a new contract without knowing whether the crew can carry it, then discover the answer in overtime.
- Quotes go out, some come back. Nobody can say which kinds win, whose quotes close, or what is still sitting out there.
- Cash gets tight in the same two months every year and every year it is a scramble.
- A technician is slow, or excellent, and the only evidence is an opinion.
What Analytics changes
- Month In Review and 6 Month Review. Jobs, inspections, services, quotes, deficiencies and revenue for the period you just finished, with drill-down into the records behind every number.
- Forecast from work you already have. Revenue Outlook, Cash Outlook, Workload and Capacity and the Obligations Calendar are computed from your contracts, jobs, quotes, invoices and deficiencies, so the slow month shows up in time to sell into it.
- Quoting performance. Pending, quoted, won and lost, close rate, average margin, a weekly snapshot and performance by cost category.
- Tech Scorecard and AI Analysis. Inspections, services and service quotes per technician with gross margin and hours, plus a place to ask the question in plain English and get a chart back.
Overview
The dashboard shows quotes pending, quoted, won and the close rate; services total, completed, revenue and average revenue; and inspections scheduled this week, overdue, completed and the completion rate. Every card opens the grid of records behind it, filtered to that number.
Month In Review lays out about two dozen measures for one month: jobs created and completed, inspections performed and their pass rate, overdue inspections, services opened and completed, service work sold, project quotes quoted, won and lost with the win rate, service quote acceptance rate, revenue booked, past-due balances and new business won. 6 Month Review draws the same measures as lines across six months.
Forecast
The forecast pages are computed live, not from a spreadsheet you maintain.
- Revenue Outlook. Committed revenue for the next ninety days and the whole horizon from accepted agreements and scheduled work, the weighted pipeline from open quotes, renewal exposure, and a chart against the revenue targets you set per month and office.
- Cash Outlook. What is collectable in the next thirty days, work completed but not yet invoiced, doubtful balances past ninety days, and the net before overhead.
- Workload and Capacity. Utilisation over the next thirty days, the unscheduled backlog, the peak month ahead and coverage gaps.
- Obligations Calendar. Contract occurrences due in the next thirty days, the ones not yet covered by a job, agreements ending within ninety days and critical deficiencies open past ninety days.
- Forecast Accuracy. The error one month ahead, the error in the committed layer, bias and captures, so you know how far to trust the outlook.
Quoting
The Quoting dashboard shows pending, quoted and won counts and values, the close rate and average margin. Snapshot shows quoted and won year to date and the pipeline by office, with a week-by-week pager. Performance breaks the last twelve months down by labor, parts and material, equipment, expense and subcontractor.
Inspections, Service and Field
The Inspections dashboard shows the deficiency mix and the status mix of inspection jobs. The Service dashboard shows total and completed services, revenue, average revenue, average margin, average duration, parts cost and service quote approval. The Tech Scorecard lists each technician's inspections, services and service quotes by count and value, with cost and gross margin, by office; a row opens that technician's own dashboard with clocked hours and the mix of inspection and service types they handled.
AI Analysis
Ask a question in plain English and AI Analysis answers from your own quotes, inspections, services, invoices, deficiencies and jobs, picks the chart that fits, and lets you export the result to Excel. Suggested questions cover the quote pipeline by stage, recent inspection results, service revenue and margin, overdue invoices by aging, open critical deficiencies and the upcoming schedule.
The Week
Every Monday, each person who opts in receives an email covering the previous week: jobs created, completed and cancelled, hours logged, inspections passed and failed, deficiencies opened by severity and resolved, quotes issued and accepted, invoices issued and collected, agreements accepted and renewed, and new customers and buildings.
Bottom line
Pricing, hiring and the line of credit stop being gut calls. One avoided bad hire or one well-timed price increase pays for the year.
